Privacy Policy

This policy covers Uploop, the practice software for coaches operated by Accordial Tech LLC. The Accordial app has its own policy, and a very different one, because that product is anonymous by design and this one is not.

The short version

  • Uploop holds real names. It has to: it is a client roster, a calendar and an invoice book.
  • Your clients' information is yours. We process it to run Uploop for you and for nothing else.
  • We never sell data, never run advertising pixels, and never train models on your content or your clients' content.
  • You can export everything and delete everything, from inside the product, without asking us.

A summary is not the agreement. The sections below are.

Section 01

Who this covers

Coaches and practices using Uploop, people they invite as seats, and clients using the Uploop client app or booking through a practice page. It also covers visitors to this website.

It does not cover what a coach does with information after exporting it, or third party services you connect such as Google Calendar, Outlook or Stripe.

Section 02

The two roles we play

For your own account we are the controller: your name, email, practice details and billing state are ours to explain and account for.

For your clients' information we are the processor and you are the controller. You decide what to collect and why. We hold it, process it on your instructions, and hand it back or delete it when you say.

Section 03

What we collect

About you: name, email, password hash, practice name and branding, plan and billing state, timezone, and how you use the product.

About your clients, on your instruction: name, email, phone if you add it, intake answers, session records and summaries, assignments and check-in answers, booking and payment records.

Automatically: IP address, device and browser, pages visited, and error reports. We keep this to run and secure the service.

We do not collect government identifiers, health insurance information, or payment card numbers. Card details go to Stripe and never touch our systems.

Section 04

What we do with it

We run the product: show your roster, send your forms, hold your calendar, produce your briefs, take your payments, and email the people you tell us to email.

We use aggregate, non-identifying usage information to understand what is worth building. We do not build profiles of your clients for our own purposes, and we do not sell anything to anybody.

Section 05

Machine learning

Session summaries, briefs and drafted programmes are produced by machine learning models run by our providers. Content sent for that purpose is processed under contracts that forbid retention beyond the request and forbid training on it.

Model output can be wrong. Everything is presented to you as a draft, and you are the professional who decides what is true.

Section 06

Who we share it with

Only the vendors it takes to run the service: our cloud host, Stripe for payments, our email provider for the messages you send, our video provider for sessions, our model providers for the drafting features, and an error reporting service.

Each is bound to use the information only to provide their service to us. We do not share with advertisers or data brokers, and there are none of either in this product.

Section 07

Cookies and tracking

This site uses no advertising pixels, no session replay, and no cross site identifiers. The product uses the cookies it needs to keep you signed in and a first party analytics record of feature usage that does not fingerprint you.

The client app carries no advertising SDKs.

Section 08

Where it lives, and for how long

Data is held on servers in the United States. We keep your account information while your practice is open. When you delete a practice we remove its data within thirty days, apart from invoices and payment records, which we keep for seven years because tax and dispute rules require it.

Error reports are purged after ninety days. Backups roll off within thirty five days.

Section 09

Your rights, and your clients' rights

You can export and delete from inside the product at any time. If a client asks you to correct or erase their record, do it in Uploop and it is done; if you need our help, write to privacy@tryaccordial.com.

Depending on where you live you may have rights of access, correction, deletion, portability, and objection under the GDPR, the UK GDPR, the CCPA and CPRA, and other state laws. We honour them, and we do not charge for them or treat you differently for exercising them.

We respond to rights requests within thirty days.

Section 10

Children

Uploop is not for children. Do not create client records for anybody under 16 without the consent their jurisdiction requires, and do not use the client app with anybody under 13. Tell us if you believe we hold a child's information and we will remove it.

Section 11

Security

Traffic is encrypted in transit and data is encrypted at rest. Access to production is limited to the people who need it and logged. We will tell affected practices without undue delay if a breach puts their information at risk.

Section 12

Legal requests

If we are compelled by valid legal process we will comply, and where we are allowed to tell you, we will. We will not hand over a practice's client records on an informal request.

Section 13

Changes

Material changes are announced in the product at least thirty days ahead and recorded in a public changelog. You can export and delete before they take effect.

Section 14

What this policy is not

It cannot govern what your clients do with their own devices, what a connected calendar provider knows once you connect it, or what Stripe is required to disclose under its own obligations.

It is not a promise that machine learning is accurate, and it is not a substitute for the promises you make your clients yourself.
